A global, award winning architecture practice is looking for Library and Project Information Assistant to join their busy team.  The focus of the role will be supporting the Knowledge Management and Technical teams in administering, maintaining and updating key information and image resources including physical and digital libraries and databases, ensuring accessibility, availability and accuracy of information to all in the practice.

The role will be covering 3 key areas and time will be split evenly between Project Information and Image Library (50%) and Technical and Materials Library (50%)

Project Information

  • Assisting the Project Information Coordinator in auditing, maintaining, and generating reports and new project requests in Newforma.
  • Assisting the Project Information Coordinator in gathering content, verifying information, and creating graphics for Project Profiles on the Intranet.
  • Supporting teams with database-related queries and tickets.
  • Uploading and updating information on the Intranet.

Image library

  • Assisting the Project Information Coordinator in tagging and classifying photos uploaded to Open Asset.
  • Supporting teams with queries on Open Asset.

Technical and Materials Library

  • Working independently to maintain the book library database and the materials library database.
  • Supporting users with database and library related queries and tickets.
  • Administering loans and reshelving of returned books and materials.
  • Purchasing, logging, classifying new technical books, standards, and journals as requested by teams, and liaising with technical teams to ensure subscriptions and memberships are fit for purpose.
  • Arranging library inductions for new users.
  • Liaising with our external librarian consultants as required for system developments.
  • Assisting with the production of the Library Bulletin.
  • Liaising with suppliers who would like to showcase products internally and facilitate visits.

SKILLS AND EXPERIENCE

  • Educated to at least A-level standard (or equivalent).
  • Good level of IT skills o Proficiency in Microsoft Office including a working knowledge of Microsoft Excel
  • Working knowledge of Adobe Creative Suite applications an advantage
  • Experience of Open Asset an advantage
  • Previous experience of working in a relevant business, ideally in the built environment and/or a library.
  • Demonstrable understanding and experience of databases and knowledge management.
  • Ability to follow set tasks independently, organise and plan daily workload, using initiative when required.
